The Office of Academic Affairs at the UW School of Dentistry (UWSOD) is the vibrant center of one of the best dental schools in the world. Since 2015 it has led the modernization of the dental curriculum into the medically-focused “dentist of the future” curriculum. It has continued to meet the challenges of the quickly-changing healthcare landscape, such as its pioneering response to COVID-19 in curriculum, its forward-thinking Foundations curriculum in biomedical sciences, and its award-winning Regional Initiatives in Dental Education program. The Office of Academic Affairs seeks to create socially-responsible graduates who can be excellent oral physicians, team leaders, and agents for positive change in evidence-based oral health care. The Curriculum Specialist will administer complex processes using independent decision-making while working in close conjunction with the Associate Dean and the Director of the Office of Academic Affairs. The Curriculum Specialist must ensure deadlines are met and in compliance with required standards. The core duties are planning, coordinating, implementing, and ensuring high-quality outcomes including implementation of process improvement measures.

  • Associate Dean for Academic Affairs
  • Director of Academic Affairs is team leader on day-to-day issues

DUTIES & RESPONSIBILITIES:
Time Schedules

Track and apply relevant deadlines including:

  • Quarterly course start and end dates, per class
  • Health Sciences Instructional Support classroom reservations deadlines
  • UW Time Schedule Construction and Maintenance deadlines
  • Others as needed

Time Scheduling, quarterly

  • Notify all relevant faculty and staff of deadlines for time schedules and classroom reservations for predoctoral classes, so they comply with submission requirements.
  • Confirm names of course directors for all required and selective predoctoral courses each quarter.
  • Construct and maintain overall quarterly time schedules for all required and selective predoctoral courses each quarter in compliance with the deadlines. Consider both the requirements of the course directors and the availability of suitable predoctoral classrooms, preclinical, laboratory, and clinical facilities. This complex task requires working in close cooperation with departmental staff, course directors, and Health Sciences Instructional Support staff.
  • Coordinate joint predoctoral course sessions in cooperation with the following units:
  • IDDS joint course sessions: UW Professional and Continuing Education;
  • RIDE course sessions: UWSOD RIDE and Eastern Washington University RIDE faculty and staff;
  • Interprofessional Education (IPE) sessions: UW Center for Health Sciences Interprofessional Education, Research and Practice and UWSOD IPE committee.

Classroom Reservations, quarterly

  • Reserve appropriate classrooms, preclinical, laboratory, and clinical facilities from Health Sciences Instructional Support for required and selective predoctoral courses as needed.
  • Track results; plan and implement process improvement measures as necessary.

Curriculum Management

Track and apply relevant deadlines including:

  • Quarterly grading deadlines
  • UW Curriculum Committee deadlines for applications to propose new predoctoral courses and to change existing courses
  • Health Sciences Instructional Support classroom reservations deadlines
  • Quarterly course start and end dates, per class
  • Others as needed

Predoctoral grade submission, quarterly:

  • Communicate with course directors and departmental staff about quarterly grading deadlines for required and selective courses and how to submit grades on time.
  • Act as grading delegate for non-departmental predoctoral courses under select circumstances.
  • Advise course directors and departmental staff about how to submit grades past the grading deadline and assist as needed.

Predoctoral 4th Year selective courses, quarterly:

  • Communicate with faculty and departmental staff to determine selective course offerings;
  • Survey the 4th year class regarding their selective course choices;
  • Analyze and distribute the results to all relevant parties and delegate the clinical assignments to Clinical Affairs staff.

Predoctoral 3rd Year clerkship track assignments, annually:

  • Communicate with Clerkship Directors and departmental staff to confirm annual clerkship tracks;
  • Create communications for the incoming 3rd year class regarding the potential clerkship tracks;
  • Survey the incoming 3rd year class regarding their clerkship track preferences;
  • Analyze and distribute the results to all relevant parties and delegate the clinical assignments to Clinical Affairs staff.

Predoctoral 2nd Year Summer Selective program, annually:

  • Communicate with course directors, administrators, and staff to confirm annual offerings;
  • Create communications for the incoming 2nd year class regarding the potential choices and how they can communicate their choice to the correct decision-makers.

Proposals for new predoctoral courses and changes to existing courses, as required:

  • Track UW Curriculum Committee deadlines for applications to propose new predoctoral courses and to change existing courses.
  • Notify all potential interested parties of these deadlines in time to ensure their compliance with submission requirements.
  • Manage and process all such applications. Guide faculty and staff on preparation and submission of necessary documentation. Facilitate its timely dissemination to the UW Curriculum Committee and UWSOD Curriculum Committee.
  • Track results; plan and implement process improvement measures as necessary.

Curriculum mapping

Track and apply relevant deadlines including:

  • Quarterly course start and end dates, per class
  • Commission on Dental Accreditation (CODA) report deadlines
  • Others as needed

Curriculum Map maintenance and implementation, ongoing:

  • Maintain the UWSOD predoctoral Curriculum Map in conjunction with faculty and the Director of Academic Affairs.
  • Provide training and support for departmental staff and faculty to use the predoctoral Curriculum Map.
  • From the predoctoral curriculum map, prepare on-demand updates and reports for the UWSOD Curriculum Committee and UWSOD Administrative Leadership.
  • Assist with the development of, and subsequently manage an online curriculum-related toolkit of CODA information, updates, and tools for faculty, staff, and other UW stakeholders.
  • Track results; plan and implement process improvement measures as necessary.

Curriculum evaluation and communications

Track and apply relevant deadlines including:

  • Student Course Evaluation faculty contact, survey building, survey opening, survey closing, and other relevant deadlines
  • Quarterly course start and end dates, per class
  • Others as needed

Predoctoral student course evaluations, quarterly:

  • Build new course evaluation surveys and consult with faculty about changes to existing surveys;
  • Compose and schedule announcements and reminders to faculty and students about course evaluations;
  • Conduct the course evaluations for all predoctoral students;
  • Contact all non-respondent students and schedule make-up surveys;
  • Communicate with staff and non-compliant students regarding consequences of non-compliance;
  • Analyze and distribute confidential quarterly course evaluation summary reports to the Dean, Associate Dean for Academic Affairs, and the UWSOD Curriculum Committee.

Predoctoral curriculum surveys, annually:

  • Consult with faculty about required changes to existing surveys;
  • Conduct the course evaluations for all predoctoral students;
  • Contact all non-respondent students and schedule make-up surveys;
  • Communicate with staff and non-compliant students regarding consequences of non-compliance;
  • Analyze and compile confidential evaluation summary report.

Miscellaneous:

  • Generate, post, and maintain annual UWSOD Curriculum Lists
  • Work with UWSOD IT to ensure the timely maintenance of the UWSOD online Predoctoral Course Catalog, including the incorporation of new courses, updates to existing courses, and elimination of discontinued courses
  • Execute the publication of UWSOD All-Class Calendars in coordination with the UWSOD Office of Student Services
  • Manage and support schoolwide curricular quality assurance / calibration programs.
  • Track results; plan and implement process improvement measures as necessary.

Other duties, as assigned by Director of Academic Affairs and Associate Dean for Academic Affairs.

MINIMUM REQUIREMENTS/QUALIFICATIONS:

  • Bachelor’s degree or equivalent combination of education and experience, and two years of administrative experience including personnel administration, budget management, and report writing.
  • Demonstrated commitment to diversity, equity, and inclusion.

Equivalent education and/or experience may substitute for minimum requirements.

DESIRED SKILLS/EXPERIENCE:

  • Proficiency with Excel, Word, PowerPoint, SharePoint, Outlook, Canvas, Catalyst.
  • Comfortable operating in online platforms and with new software.
  • Excellent written and spoken communications skills.
  • Excellent analytic skills and attention to detail, including numerical data.
  • Enthusiasm, tact, and diplomacy.
  • Ability to self-manage, multi-task, and prioritize.
