Reporting directly to the Records and Transfer Coordinator, the Enrolment and Transfer Assistant (0.80 FTE) is responsible for providing administrative, and clerical support to the Enrolment Management team in the Office of the Registrar. This includes supporting the Admissions, Records, and Transfer Units with a variety of administrative tasks throughout the academic cycle. The Enrolment and Transfer Assistant is accountable for the maintenance of various databases, such as Academic Tools, Tool Kit, Service Now, Alberta Council on Admission and Transfer (ACAT), etc.

The Enrolment and Transfer Assistant is also responsible for fulfilling transcript and milestone certificate requests, while also managing all incoming mail. Other duties and responsibilities consistent with the job description may also be required as the needs of the department evolve. The incumbent is required to have a high degree of attention to detail, ability to prioritize tasks and the ability to work both independently and as part of a team.

Answer inquiries through Service Now, Teams, and phone

Maintain student records

Prepare and distribute student records materials (i.e. transcripts, parchments)

Assist with application maintenance tasks

Monitor articulations inbox and fulfill course outline requests

Database maintenance

Assist with the maintenance and updates of transfer agreements

Provide administrative support to Admissions and Records & Transfer Coordinators

Knowledge and Skills:
Computer and office skills, including advanced proficiency with Microsoft Office Outlook, Word, Excel, Access and PowerPoint programs, Web-based meeting platforms as well as the ability to learn new software.

Minimum two years of office experience. Previous experience in a Registrar’s Office working with a student information database (i.e. PeopleSoft) is preferred

Post-secondary diploma. Equivalencies will be considered in lieu of education

Consideration will be given to an equivalent combination of education and experience

To succeed in this position, you will need to have excellent oral and written communication skills in order to communicate effectively with contacts internal and external to NAIT; have an ability to work co-operatively in a fast team setting; organizational skills and a customer-service focus.

Remuneration: $1311.94 – $1693.87 bi-weekly, based on a 29-hour work week plus a comprehensive benefits package (classification – Administrative Support IV).

This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
