Technology Aspect

Position Overview

The Supervisor of Activation and Attendance Services is responsible and accountable for overseeing overall school attendance and family onboarding, leading strategic initiatives to improve attendance rates and reduce unexcused absences and attrition. This role involves managing a team of professionals responsible for activation, truancy prevention, attendance tracking, communication, and reporting. The ideal candidate will possess a strong work ethic, excellent organizational and communication skills, and a passion for ensuring students' regular and active attendance in school.

Essential Position Functions

  • Supervise and lead the team responsible for truancy prevention, and attendance tracking, communication, and reporting.
  • Facilitate activation processes, including comprehensive parent orientation sessions to acquaint families with program offerings and procedures.
  • Conduct personalized welcome calls for all incoming students and families, fostering a sense of belonging and support from the outset, and deliver continued support through Help Rooms.
  • Guide families through essential parent and student onboarding checklists, maintaining proactive communication channels to promptly address any login-related concerns.
  • Oversee daily family contact, including calls, emails, and texts, to ensure logging in, addressing excessive absences, and explaining associated consequences.
  • Develop and conduct training sessions for team members to enhance their understanding of attendance policies and procedures.
  • Collaborate with the academic team to create tailored interventions for students experiencing attendance and/or course mastery and progress difficulties.
  • Participate in meetings with school administrators to discuss attendance and withdrawal trends, concerns, and proposed solutions.
  • Implement consistent and effective communication strategies to increase attendance rates and achieve attendance, course progress, and retention goals.
  • Make and maintain detailed records for excused absences, withdrawals, interventions, and early intervention procedures, and ensure accurate and current Do Not Contact & Bad Contact lists.
  • Generate attendance reports for administration, providing regular updates on attendance data.
  • Develop and implement procedures to support and enhance student attendance.
  • Communicate professionally with families to address attendance-related concerns/complaints.
  • Ensure attendance records and reports are accurate, following district policies and state laws.
  • Collaborate with the Supervisor of Data Services to process records for truancy prevention and maintain a log of students with truancy concerns.
  • Coordinate information with relevant stakeholders and maintain accurate absence codes in the Student Information System.
  • Utilize various software applications, including Zoom, Google Workspace, learning management systems, MS Excel, and MS Word to enhance attendance services.
  • Perform other duties as assigned, ensuring the smooth operation of activation and attendance-related functions within the school.

Required Skills, Knowledge, and Abilities

  • Knowledge and understanding of state rules and regulations regarding attendance accounting procedures.
  • Experience with basic audit procedures is preferred.
  • Strong work ethic and team player mentality.
  • Patience when handling student, parent, and community inquiries.
  • Proficiency in computer software and applications.
  • Excellent organization, communication, and interpersonal skills.
  • Knowledge of record maintenance processes.
  • Exceptional organizational and time management skills.
  • Experience using student information systems and databases.
  • Strong written and verbal communication skills.
  • Proficiency in Zoom, Google Workspace, learning management systems, MS Excel, and MS Word.
  • Experience with PowerSchool and Genius Student Information Systems is preferred.
  • Ability to pass required background checks.

Education & Certification Requirements

  • Bachelor’s Degree required.
