Technology Aspect
To establish a clear duty of care, Stellar Virtual and its affiliates require all employees to cover the costs associated with acquiring and providing the equipment (i.e., computers, internet service, telephone, home office setup, etc.) associated with virtual employment.

Position Overview

As a Supervisor of Data Services at Stellar Virtual, you will play a key role in managing and optimizing data-related processes to ensure accuracy, efficiency, and compliance. You will lead a team of skilled data analysts and specialists: overseeing their day-to-day activities, providing guidance, and fostering a collaborative and results-oriented work environment. Primary responsibilities will involve ensuring compliance with state and federal reporting deadlines and maintaining accurate student records.

Essential Position Functions

  • Coordinate the collection, integration, and formatting of all data required for submission while ensuring strict adherence to state-based Data Standards.
  • Collect, format, and enter all student data into the Student Information Systems (SIS).
  • Conduct thorough data edits, generate reports, and perform verification checks to maintain the highest levels of data accuracy.
  • Distribute edits and reports to relevant staff for analysis, verification, and correction, ensuring data integrity.
  • Verify submitted data promptly and address any necessary corrections to maintain compliance.
  • Control and validate district student identification numbers and state numbers for accuracy.
  • Maintain student management system parameters for the District, ensuring comprehensive and accurate student data.
  • Manage student records meticulously according to company guidelines.
  • Facilitate the student enrollment process, transitioning from registration approval to enrollment in PowerSchool.
  • Process new student records, including transcript requests, cumulative folder setup, and accurate data entry into databases.
  • Handle requests for student information with professionalism and confidentiality.
  • Assist counselors with student enrollment, withdrawals, transfers, and records processing, ensuring a seamless administrative process.
  • Support school administration and counselors in preparing reports and student data information, delivering accurate and timely insights.
  • Monitor student daily attendance diligently and report possible truancy concerns promptly.
  • Track, review, and follow up on student leavers continuously to ensure student success and retention.
  • Provide comprehensive training and support to staff responsible for state-required data processing, fostering a knowledgeable and capable team.
  • Stay updated on information from the Arizona Department of Education, sharing pertinent updates and insights with relevant staff.
  • Attend regional workshops, actively participate, and disseminate essential information internally.
  • Stay informed about Arizona school funding regulations, ensuring accurate capture of student information and coding for District WADA to maximize student funding.
  • Ensure strict compliance with all state and federal deadlines, adhering to policies established by federal and state law, State Board of Education rules, and local Board policy.
  • Compile, maintain, and file all required reports, records, and documents both physically and electronically.
  • Perform other duties as assigned, exhibiting adaptability and a willingness to contribute to various aspects of data services as needed.

Required Skills, Knowledge, and Abilities

  • Previous experience with data entry management, demonstrating a high level of proficiency and accuracy.
  • Exceptional proficiency in using personal computers and various software applications, including database development tools.
  • Outstanding communication skills, both oral and written, enabling effective interaction with colleagues, parents, and families.
  • Strong time-management skills, attention to detail, and the ability to work independently while maintaining meticulous and auditable records.
  • Extensive experience with computer-based programs, including but not limited to Excel, Google Drive, Hangouts, Zoom, and the Microsoft Office Suite.
  • Minimum of 3 years of experience in a similar capacity within a school setting, demonstrating a deep understanding of data management principles and best practices.

Education & Certification Requirements

  • High school diploma or equivalent required.
  • A bachelor's degree in a relevant field is preferred.
